My University Management System Office of the Registrar
Built for private universities & colleges

The university management system that runs the whole student journey

MyUMS handles admissions, student records, course registration, timetabling, attendance, examinations, transcripts and student finance — one browser-based system for universities and colleges in Malaysia and across Southeast Asia.

No installation — staff and students work in a browser. Hosted on your cloud or ours.

How it works

One record, from application to transcript

A student is entered once, at application. Every later stage reads and adds to that same record, so the registry never reconciles spreadsheets between departments.

Step 1

Apply

Applicants submit online without an account and get a reference number.

Step 2

Admit

Admissions move applicants through a controlled pipeline; admitting creates the student, matric number and portal account.

Step 3

Register

Students register courses within the window, checked against prerequisites, capacity and credit limits.

Step 4

Teach

Lecturers take attendance and enter coursework marks for their own sections.

Step 5

Examine

Weighted components produce grades, GPA and CGPA; transcripts print as PDF.

Modules

Everything a registry runs, in one place

Each area is a working module, not a roadmap item — with the rules your academic regulations already require built into it.

Admissions

Public application form, a controlled applicant pipeline, and one-click conversion to a student — with visa records raised automatically for international applicants.

Student records

The full lifecycle — defer, withdraw, readmit, extend candidature, change programme — each written to an audited service record.

Course registration

Registration windows, section capacity, duplicate guards, credit limits and prerequisite checks that accept completed courses or approved credit transfers.

Timetabling

Build the schedule with room and lecturer clash detection per semester, and give every student a personal timetable.

Attendance

Mark attendance per class meeting, count excused absences correctly, and bar students below the exam-eligibility threshold automatically.

Examinations & grading

Weighted coursework components that must total 100%, your own grading scheme, and GPA and CGPA computed over credit hours.

Transcripts

Official transcripts generated as PDF from the same record, carrying your university name and logo.

Student finance

Semester invoicing for every active student, scholarships and percentage discounts, payment recording with receipts, and a statement of account.

Roles & audit

Registrar, admissions, finance and examinations roles see only their own areas, and every change is written to an activity log.

Why universities choose it

Built around academic regulations, not generic CRM fields

Credit limits, prerequisite chains, attendance bars and weighted assessment are enforced by the system itself, so a registration or a result that breaks your regulations simply cannot be saved.

  • Three separate portals — students, lecturers and administration — each scoped to what that person may see.
  • Your university name and logo throughout the system, portals and PDFs.
  • Semester advance that refuses to roll forward while results are still outstanding.
  • Moodle integration available, so course enrolments need not be keyed twice.
  • Deployed as a container to your own cloud or ours, with your data in your database.

Questions

What universities ask us first

What is a university management system?

A university management system (also called a student information system, or SIS) is the single system of record for everything a campus does with students: taking applications, admitting them, registering courses, scheduling classes, recording attendance, running examinations and grading, issuing transcripts, and billing fees. MyUMS covers all of those areas in one browser-based system, so a student is entered once at application and the same record carries through to graduation.

Which modules does MyUMS include?

Admissions with a public application form and applicant pipeline; student records and lifecycle changes such as deferment, withdrawal, readmission and programme change; course registration with prerequisite, capacity and credit-limit checks; timetabling with room and lecturer clash detection; attendance with exam-eligibility thresholds; examinations with weighted coursework components, grading, GPA and CGPA; PDF transcripts; and student finance covering invoicing, scholarships, payments and statements of account.

Is it suitable for a college as well as a university?

Yes. The academic structure is configurable — faculties, programmes, courses, academic sessions, semesters and intakes are all set up for your institution, so a college running diplomas uses the same system as a university running degrees.

Does MyUMS integrate with Moodle?

Yes. MyUMS can talk to a Moodle site through Moodle web services, so course enrolments do not have to be keyed into both systems. The integration stays switched off until your Moodle URL and web-service token are configured.

Where is the system hosted and who holds the data?

MyUMS ships as a container and can be deployed to your own cloud or to hosting we arrange. Either way the records live in your own database, and uploaded documents in your own object storage. Your university name and logo appear throughout the system, the portals and every PDF it produces.

What language is the interface in?

The interface is in English. Your own content — programme names, course titles, grading schemes and the university name — is whatever you enter, so it can be in Bahasa Malaysia or any other language.
